Schedule of the Evening – Example of the Flow

Arrival and Preparation: The doctoral candidate or their designated contact person arrives well in advance to check the seating arrangements, attend to any decorations, and review the evening’s flow with the Head Waiter in charge.

Welcoming Guests: Upon arrival, guests are served glasses of sparkling wine or champagne. The doctoral candidate greets the guests and welcomes them further into the venue.

Toasts and mingling: Welcome toasts are enjoyed in the lobby or the banquet room while mingling, after which the guests move to their tables. We recommend reserving approximately 30 minutes for this.

Opening Words: Once the guests are seated, the doctoral candidate welcomes everyone and briefly outlines the evening’s programme and schedule.

Dinner Service Begins: Next, dinner is served. The waitstaff first pours wine for the guests, after which the meal is served either to the tables or from a festive buffet, as agreed.

Second Pouring: During the meal, a second pouring of wine takes place. After the main course plates have been cleared, the waitstaff ensures that everyone has sufficient drinks for the speeches.

Break Before Speeches: When the main course plates are being cleared, it is advisable to inform guests of the upcoming speeches, giving them a moment to stretch their legs if needed.

Speeches: Next, it is time for the speeches. During the speeches, our waitstaff will not move about the banquet room, and the doors will remain closed to ensure silence and respect for the speakers.

Dessert and Coffee: After the speeches, the candidate opens the doors of the banquet room (symbolising the end of the formal part). Dessert is then served, followed by coffee and optional digestifs (avec).

Programme: During coffee, other entertainment, such as a musical performance, can take place during the coffee service.

Conclusion of the Evening: Beverage service concludes 30 minutes before the end of the dinner event. The ending time and potential after-party at Botta are agreed upon well in advance.

Duration Estimate: It is recommended to reserve several hours for a Karonkka dinner. The duration depends on the number of guests, the service style, and the number of speeches. The minimum duration is approximately four hours.
